Oftentimes you don’t want all of the respondents on your import to receive an email. Imports are often automatically generated and include respondents that have blacklisted themselves in the past, that occur multiple times in that list or that do not fall within the targeted group for sendout. 


We have different solutions for dealing with these exclusions.

Excluding based on target group

It is possible to exclude entire groups of respondents from receiving emails, by defining conditions for this in the Enrollment Criteria tab of your Scheduler. If you set up rules for enrolment to meet a certain value, you can either make records eligible for send out or exclude them from it.

Blacklisting

Sometimes clients do not wish to be contacted for surveys anymore. By activating the Blacklist settings in your scheduler, you can offer them the possibility to unsubscribe from the mailings. If a respondent clicks on the unsubscribe link in the email, his/her email address will be put on the blacklist that you’ve selected for that scheduler. Before sending out emails the system will check the blacklist that is connected tot the scheduler and if that email is recognized as being on the list, any email invitation that is being offered via that scheduler to an address that is on the blacklist will be withheld. 
 

To set up blacklisting in your scheduler:

  • go to the scheduler of the project you would like to put the blacklist on.
  • on the Scheduler tab turn the blacklist active button to “on”
  • the first dropdown indicates what list the scheduler should check whether the email is on the list or not, before sending out the invitations.
  • the second dropdown indicates what list the email should be unsubscribed to. This is often the same list as the first dropdown, but doesn’t have to be. 


 


Please note that an email will stay blacklisted until manually removed. No further email contact through this scheduler will be initiated to that email address, including reminders or resending of emails.


Temporary Exclusion/Deduplication

Much in the same way as you would set up blacklisting, you can set up temporary exclusions in your scheduler or through your database. If an email is on the Temporary Excluision list, it will be excluded from sendout for a selected period of time. This is especially useful in case of deduplication, or if you don’t want to swamp your respondents with invitation emails. 
 
To set up temporary exclusion in your scheduler: 


  • go to the scheduler of the project you would like to put the exclusion on.
  • on the Scheduler tab turn the check exclusion button to “on”
  • the first dropdown indicates what list the scheduler should check whether the email is on the list or not, before sending out the invitations.
  • turn the add exclusion button “on”
  • the second dropdown indicates what list the email should be added to. This is often the same list as the first dropdown, but doesn’t have to be.

Temporary exclusion will be performed on the next new record that holds an email address that has been placed on the Temporary Exclusion list. Therefore reminders and resend emails can still be sent out to the initial record containing the email address.
